Who is considered a “member” for the purposes of “Early Bird Member Workshop Discounts”?

Early Bird workshop registration at a discounted rate is included in the following memberships:

  • Individual,
  • Professional
  • the Shop Membership (only one person per membership).

Shop Memberships (after the first member), and Guild Memberships must wait until the form opens to the Public (March 29)

Do I need to have my Membership number to take advantage of the “Early Bird” Discounted Workshop Registration?

No, although you must indicate Member or non-member on the form in order to open the form, during the discounted period all registrations are checked against the Registration List.

Like so many other things, the reason the Registration will open 2 months late is Covid. None of the world has much advance notice of Covid issues and lock downs.

Tell me about Show Hall Entry Passes this year?

All workshops (either full or half day) will include a complimentary entry to the Show Hall only on the day of your workshop – (A ticket will be distributed in the classroom).  This entry is only good for the person registered in the workshop and only for the day of that workshop (not transferable). Two half day workshops will only provide one person entry for the day of the workshops.

Exceptions (No Complimentary Show Hall Entry Included)

  • Lectures (including the All Access Pass and Evening Lectures).
  • Wednesday Workshops (Show Hall is closed on Wednesday).

I want to purchase a Commemorative Event Pin – where do I purchase it and how do I pick it up at the show?

You can purchase your pin on the registration form.  Quantities are limited and it is not guaranteed that they will be for sale at the event in Vancouver.  Pins ordered on the registration form may be picked up at the Registration Booth on the second level of the Vancouver Convention Centre – East Building.  See the “Week at a Glance Schedule” for the Registration Desk Hours of Operation.  The Pin is on the Registration form and costs $8.00 plus tax.

I want to attend the Opening GALA and Awards Ceremony. Is there a cost and how do I get a ticket?

We ask that you indicate that you plan to attend on the Registration Form so we can have some idea of how many chairs are needed.  Thank you.  It is being held at 7pm PT on Wednesday June 15 in Meeting Rooms 1, 2 and 3 in the Vancouver Convention Centre – East Building on the Meeting Level.

Tell me about the National Juried Show Tours (NJS) and can I wander through the show myself without a Tour.

National Juried Show Tours (NJS) are tours primarily conducted by Board Members and Trained Judges.  Tour Leaders are generally not released in advance.  These tours include a lot of information about what aspects are important in this competition.  They will choose entries that are unique and talk in detail about them.  Often the artists of NJS winners can be found wandering the exhibits and sometimes if you are lucky you can meet one or more of them.

YES, you are most welcome to wander the exhibit on your own at any time during the show.  We ask that you follow the normal show rules and there are white glove person’s on duty to assist if you need a corner lifted or have a question to ask etc.

We do ask that you DO NOT try to join a tour if you come upon them.  The size of these are limited for good reason especially in these Covid times.

GROUP INFORMATION

 

Is there discounted pricing for Groups of 30 or more attending?

Yes, there is discounted pricing – with a group of 30 or more tickets purchased at the same time and distributed by the group, the price is $21.00 +tax for each Single Day Entry Pass.  Note: For multiple day Tour Groups  where some people could register for workshops, a complimentary Show Hall Entry may be included with their workshop registration.  The Group need not arrive in a bus.  Due to price adjustments the Passes need to be purchased through the Registrar.

Is there special information for Groups of 30 or more?

Yes, there is always special information that comes out for groups.  It is necessary that you register your group and the contact person with the Registrar.  The Registrar will send out the information as it is available.  This is especially necessary in Vancouver as there is VERY LIMITED space for bus drop off and no space for bus parking.

Is there information for Groups arriving by Chartered Bus?

Buses will be given a very limited period of time to stop for loading and unloading at the drop off at the West Building.  The venue does schedule this.  Buses will then be required to leave the area and park their bus elsewhere.  The exact timing will be sent about a week ahead.  You will be required to submit your preferred time for each arrival so that can be factored into the schedule.

 

Persons arriving by bus will have a short walk to the East building for the show.

LECTURE INFORMATION

 

How does the All Access Daytime Lecture Pass work?

There are 10 daytime Lectures included in the All Access Pass.  This Pass allows you to come and go to every daytime lecture with a savings of $25.00 +tax overall.  The Tyvek Bracelet (fully washable) will allow you convenient entry to the Lecture Hall and should be picked up prior to your first Lecture at the Registration Booth in the Lobby of the Workshop area (2nd Floor).  You will need to show your Confirmation Email to pick up your bracelet.

 

Note: An individual lecture purchase option is available in the WORKSHOP/LECTURES Section of the form.

Please ensure that you have NO CONFLICTS with any Workshops or NJS Tours that you plan to register for.  Conflicts are your responsibility.

Complimentary Show Hall Entry is NOT included in this Pass – An Entry pass is not needed to attend the lectures.

I only want to take 1 or 2 lectures, can I do this?

Absolutely yes!  Although the All Access Daytime Lecture Pass is listed close to the top of the Form, each individual Lecture is also listed under the day that it is held in the “Workshops, Demos and Lectures” section of the Form.   This is for the purchase of individual lectures.  The cost of each daytime lecture is $15.00 + tax.

There is no Complimentary Show Hall Entry with any Lecture attendance, however, you do not need to enter the Show Hall to attend the Lecture.

How can I prove that I purchased the All Access Daytime Lecture Pass?

Drop by the Registration Booth in the Lobby of the Workshops Area (Meeting Level) and pick up the washable Tyvek Bracelet that you can show for entry whenever attending a lecture.  Anyone without the Bracelet will have to show their Confirmation Form for each Entry.

Bracelets are only available for persons purchasing the All Access Daytime Lecture Pass and a different bracelet is available for those with Multi Day Entry Passes.

Are there Bracelets for All Access Lecture Passes and 3-Day Entry Passes users?

Yes, there will be washable Tyvek bracelets – a different colour for All Access Lecture Passes from the Bracelet that is a 3-Day Entry Pass.

They can be picked up at the Registration Booth in the Lobby of the Workshop Area (Meeting Level, 2nd floor).

What about Evening Lectures?

This year there will be no food provided at the Evening Lectures.

You are able to register for an individual Lecture for $30.00 + tax OR you can bundle them for $50.00 + tax.

Will I be able to purchase Lecture Seats and NJS Tours during the show?

There will be a limited supply of tickets available for sale at the Registration Booth during the show.  If a Lecture or Tour is full – there will be no tickets available for them.

WORKSHOP INFORMATION

 

I can’t find the workshop section, why won’t the entire form open for me to see?

This form is very long and to make it more manageable it opens and closes areas as you proceed – the following will help you if you notice the section that you are looking for is not immediately visible.

  1. Membership Status – This must be checked to allow the form to submit.
  2. Workshops, Demos and Lectures – to prevent double bookings:
    – If you choose a full day workshop, you will automatically be taken to the next day.
    – A half day workshop will close the lectures for that half day.
    – Lectures follow each half day on the day they will be held.
  3. NJS Tours and Evening Lectures have their own section.
  4. Changed your mind? Just click on the box a second time.
  5. If you have a number showing up in a box where you want none – click the drop arrow and shift the curser to the top of the numbers where there is a blank space. Click on the space.
Complimentary Show Hall Entry with Workshops – how does that work?

FOR ALL WORKSHOPS (full or half day) – Entry to the Show Hall is included (Complimentary Entry Tickets will be distributed in your classroom).  This Entry is only good for the person registered in the workshop and only for the day of that workshop.

 

  • Show Hall hours – 9:30 to 6pm (Thursday and Friday), Saturday – 9:30 to 4pm.
  • No Show Hall access included with Wednesday Workshops (Show Hall is closed).
  • Note: 2 half day workshops will only provide one person entry for the day of the workshops.

Can I count on the accuracy of the Counters beside each event on the Registration Form?

These are a very reliable indicator.  As people register for events the counter automatically will reduce on the spot.  They are found on the form that comes up when you press the “REGISTER” button.  They are more accurate than any notice found on our website as there is a human lag involved in those numbers. 

Keep in mind, especially this year – at times you might see these numbers increase as well.  With Covid Restrictions some workshop sizes have had to reduce and it is possible that the restrictions might lessen closer to showtime.  Persons will be admitted from Wait Lists before the spaces are open to General Registration.

Conflicts and Double Bookings - I want to take a Workshop, but my group is taking an NJS Tour part way through this workshop. Can I do both?

Sorry, but no.  Everyone is responsible to monitoring their own schedule to ensure there are no conflicts or double bookings.  Instructors cannot be expected to catch people up who have left the workshop/lecture/demo for an extended period.

It is each individual’s responsibility to ensure that they have no conflicts in their schedule.  If a conflict is noticed please advise the Registrar as fast as possible.  A Change Fee could apply.

Are Covid restrictions causing size reductions and Wait Lists for Workshops?

Covid restrictions have affected all of our lives for over 2 years now.  This is no different, to keep everyone safe the organizers of the EVENT are following the British Columbia restrictions. 

Due to these restrictions, the size of some of the workshops has had to be reduced.  If the workshop that you want is FULL, it is VERY IMPORTANT that you contact the Registrar, Janet Kasper (quiltcanadaregistrar@canadianquilter.com) and put your name on a Wait List for it.  As summer approaches it is possible that we will be able to increase the size of those restricted workshops and allow people in from the Wait lists dependent on Government Mandates.

Name tags??

NONE WILL BE PROVIDED – YOU NEED TO CUT OUT YOUR OWN!  Read on!

In past years, only the person’s registered for workshops have received a name tag.  This year is different, everyone will receive one.  Two Confirmation Emails will be sent to everyone.  When you first register you will receive within about 15 minutes – 2 emails.  One will be a receipt for the payment.  The second one (Confirmation Email) will list what you have registered for and give a few instructions.

A second Confirmation Email will be sent to you about 2 weeks prior to the show with any updated or recent information, the most recent list of what you have registered for, tickets that you might have purchased and your name tag. 

This second Confirmation Email needs to be printed and taken to the show to allow admittance to many things.

NOTE:   On that second email will be a name tag printed with the information that you shared under contact information (names, city, province/state and country).  We ask that you cut that out and slip it into one of the plastic name tag sleeves that most of us have gathered over the years.  It is possible that a sewable name tag holder will be published closer to the date if you would like to be creative about your name tag.

Confirmation Emails – are they important?

Two Confirmation Emails will be sent to everyone. 

FIRST CONFIRMATION EMAIL:  When you first register you will receive within about 15 minutes – 2 emails.  One will be a receipt for the payment.  The second one (Confirmation Email) will list what you have registered for and give a few instructions.  It is very important at that time that you review the items listed as “Registered for” and make sure that list is correct.

SECOND CONFIRMATION EMAIL:  A second Confirmation Email will be sent to you about 2 weeks prior to the show with any updated or recent information, the most recent list of what you have registered for, tickets that you might have purchased and your name tag.  If you have a Complimentary Show Hall Entry due to a workshop purchase you will have to show this Email to gain entry to the hall.

This second Confirmation Email needs to be printed and taken to the show to allow admittance to many things.

Supply Lists – anything special that I need to know?
  • Check your workshop supply list and Kit Fee information both when you register and just before you come to attend the Conference. These links can be found under the Workshop write up on the website https://canadianquilter.com/quilt-canada-2022-classes-and-lectures/
  • Kit fees will be collected at your class by your Classroom Angel. Exact change would be greatly appreciated. 
  • Name Tags are not being provided this year. There will be a digital name tag on the Confirmation Email (sent about 2 weeks prior to the event).  Print the Digital Name Tag  cut it out and use a Name Tag Sleeve that you already have or make a creative Name Tag Holder.
  • Please bring the Supply List with you to class.
  • NOTE: Personal sewing machines will not be allowed in the classrooms. Machines are supplied by our generous sponsors.
  • WORKSHOP AND SUPPLY LIST LINK – LINKS TO INDIVIDUAL SUPPLY LISTS CAN BE FOUND UNDER EACH WRITE UP ONLINE.
Are there Wait Lists this year?

Most definitely there are Wait Lists.  Covid Restrictions this year are making it necessary to reduce workshop sizes.  We are hopeful that closer to summer some restrictions may be lifted and we will be able to get some persons in from the Wait Lists.

At times, it could be possible to move you from your second-choice workshop to that which is your first choice.

How should I use Workshops-at-a Glance? – the best use of this document to keep yourself organized.

This is an efficient little printable chart that lists all offerings by day, time and Instructor.  It is found under the “Workshops-at-a-Glance” Tab on the main website.

It is updated frequently regarding what is FULL.  It has the names of the workshops, Instructor and class code on it.

People use it as: 

  • An aid when registering or deciding what to register for.
  • An aid to track their schedule at the show in real time (times on the schedule will be Pacific time). Take a yellow Highlight pen and highlight everything that you have registered for.
  • A one stop check regarding what is Full and what is open when you are deciding what to take.

AFTER I HAVE REGISTERED

 

I just finished Registering for Quilt Canada 2022 what should I expect?

Check your email for 2 emails – one will be a receipt and the second will be a list of what you have registered for and additional information.  Approximately 2 weeks prior to the show a third email will be sent with up-to-date information, an up-to-date list of items registered for and a digital Name Tag for you to prepare.

AS SOON AS THE EMAILS ARRIVE it is very important that you check them to be sure everything you have registered for is as expected. If there is a problem, report this immediately to the Registrar, Janet – quiltcanadaregistrar@canadianquilter.com.

I just registered and I noticed that I have a conflict in my timing – what do I do?

Immediately email the Registrar.  The faster we hear from you the better we can help you.  If there is a delay in contacting us – the Cancellation/Change Policy will be applicable.

I think that I might be missing some information on my Confirmation Email. Will I be getting a second one?

Yes, a second Confirmation Email will be sent about 2 weeks prior to the show.  It will have an up-to-date list of the events that you have registered for, additional updated conference information, and your digital name tag to print, cut out and place in a name tag holder.  PRINT THE SECOND ONE AND BRING TO THE SHOW.

How important is my Confirmation Email – do I need it with me at the show?

The second Confirmation Email is EXTREMELY IMPORTANT!  You need to bring it to the show – we prefer a printed copy, but can work with a digital copy, if necessary.  It has your tickets, name tag and up to date information.

The first Confirmation Email needs to be reviewed to be sure that you registered for what you wanted to – sometimes a mouse or finger slips.  Please review this email and read all of the information that it shares.

The Confirmation and/or Receipt email did not come – what do I do?

Within 15 minutes of completing your registration you should have received 2 emails, one is a receipt for the transaction and the second a list of what you registered for.  If one or both are missing – please check your Junk or Spam Mail and if still missing contact the Registrar.

I just found out that I cannot attend after all and we are past the refund date, is there anything that I can do about this?

Yes, please contact the Registrar if you will not be able to attend, it is possible that we could have a waiting list and if so and if both parties agree, you might be able to arrange to sell your seat in a workshop. 

This would strictly be a transaction between the two attendees.  The Registrar will not participate other then to get permission of both parties to connect. We need as much advance notice as possible for this to be successful.

This form is very long as to make it more manageable it opens and closes areas as you proceed – the following will help you if you notice the section that you are looking for is not immediately visible.

A BIT ABOUT OUR FORM

  1. Membership Status – This must be checked to allow the form to submit.
  2. Workshops, Demos and Lectures – to prevent double bookings:
    If you choose a full day workshop, you will automatically be taken to the next day.
    A half day workshop will close the lectures for that half day.
  3. NJS Tours and Evening Lectures have their own sections that are late in the form.
  4. Changed your mind? Just click on the box a second time “, if need be, shift the curser to the blank spot of the drop down menu and click on it
  5. If you have a number showing up in a box where you want none – click the drop arrow and shift it to the top of the numbers where there is a blank space. Click on the space.
  6. Show Hall Entry Passes – Be sure to read the IMPORTANT INFORMATION in this section regarding Complimentary Entries for participants in Workshops and if you need an entry pass choose between Single day Pass or 3-day Pass.  3-day Passes are ONLY sold online.
  7. You must fill in all of the Contact Information (optional is Company/Guild).
  8. The following fields will be used to make you a name tag so write carefully and what you would like to see on your name tag: First Name, Last Name, City, Province/State, Country.
  9. Check your form over before you click the submit button.
The form will not submit for me – what could be wrong?

The most common thing is that something is missing in your information.  Scroll back up your form and look for some red print on it.  That will tell you what is missing.

I have received a message saying that I have already submitted a form but I haven’t?

If you have at some point started to fill out the form and did not finish and submit it, often this message will come up.  You can enter through this pop up – it is cautionary.

The system does not seem to be accepting my payment. What types of payment can I use?

Our system accepts Visa and Mastercard only.  It will not accept debit in any form (not the combined Visa/debit).  If you need another form of payment –   please contact the Registrar for instructions.  Your form will be in our system marked unpaid at this point, no need to re-enter the form.

Location and hours of the Registration Booth?

The Registration Booth will be located in the Lobby of the Meeting Level (2nd Floor).  This is where the workshops are located.

Registration Booth Hours
Wednesday – 4 to 7pm
Thursday – 7:30am to 4:30pm
Friday – 8am to 4pm
Saturday – 8:00am to noon
