Quilt Canada 2024 Concurrent Shows Information
Thank you for your interest in exhibiting at Quilt Canada 2024. CQA/ACC currently accepts proposals from groups or organizations to display a quilt exhibit (not an individual quilter’s exhibit).
If your organization (group) would like to be considered for space to exhibit at Quilt Canada 2024 in the Concurrent Show area of the main show hall, then you must complete the Concurrent Show Application Form and submit it online by December 31, 2023.
As a Concurrent Show at the Quilt Canada 2024 conference, your group will be asked to sign a contract between your organization and the Canadian Quilters Association/ Association Canadienne de la courtepointe (CQA/ACC).
There will be costs associated with exhibiting a Concurrent Show at Quilt Canada 2024 and your organization will be invoiced for these costs by the CQA/ACC bookkeeper prior to the event.
Outlined below is what CQA/ACC will provide and what your organization will be expected to provide.
CQA/ACC Provides:
- Floor space and pipe and drape at the show: The floor space rental will be provided free of charge. However, your organization will be required to pay for the rental of the pipe and drape required for your exhibit. For Quilt Canada 2024 the cost of pipe and drape rental will be $3.35 per linear foot.
- Number of linear feet assigned for your exhibit: The amount of linear feet provided is to be determined by CQA/ACC based on the request from the concurrent show organizers, the number of concurrent shows, and the total space available for concurrent shows in the designated venue.
- Signage with the name of the exhibit free of charge: This refers to the main sign indicating the exhibit name, description and organization for that exhibit. CQA/ACC will design and print the sign at no charge. All other signage for the exhibit is the responsibility of the organization in charge of the exhibit.
- Table and 1 or 2 chairs (Optional): A skirted 6-foot table with 1 or 2 chairs adjacent to group’s display area which can accommodate the exhibit’s literature/information and volunteers can be rented by the group through CQA/ACC. The rental fee is $32.00 for a table and $3 per chair.
- Template for the signage for individual quilts: The template for the display cards for each quilt in the exhibit will be sent electronically to the organizing group to create and print the signage for their exhibit.
- Promotion of the exhibit: At the discretion of CQA/ACC, the concurrent show exhibits will be promoted using various marketing channels such as articles in the Canadian Quilter, listing title of exhibit on promotional material (if information is available when required), listing on the canadianquilter.com website and listing the title of exhibit at the venue.
Concurrent Show Organization Provides:
- Detailed information about the exhibit: The title, description, number of quilts, linear feet required and other pertinent information will be gathered on the electronic application form. In addition, closer to the event, CQA/ACC will require name of volunteers and size of quilts if CQA/ACC is to provide hanging rods.
- Transportation of quilts to and from the exhibit hall: And all costs associated with the transportation.
- Set-Up and Take Down of Exhibit: Volunteers to hang the show on the set-up day and take down the show at the end of the event.
- Rods and supplies (loop line or fishing line and s-hooks) for hanging quilts and magnets/washers for attaching the display cards to the drape: If the organization is supplying their own supplies they must be in accordance with Quilt Canada standards. However, if the organization does not have these available to them, CQA/ACC can provide rods at a rental cost of $5 per quilt and/or the hanging supplies for both quilts and display cards at a rental cost of $5 per quilt. If rental of these supplies is required by the Concurrent Show Organization these must be ordered from CQA/ACC three months in advance of the show.
- Printed display signs for each quilt: using the template provided by CQA/ACC unless another format has been approved by CQA/ACC.
- Insurance for the exhibit: CQA/ACC’s insurance does not cover concurrent shows. Recommended that organization has a policy for their show or instruct their exhibitors to obtain personal insurance for their quilts.
- Volunteer(s) for the exhibit: If possible, 1-2 volunteers from the concurrent show organization be present during the show hours. They or their concurrent show organizers, are responsible for purchasing day passes if the volunteers want to visit the rest of the show before or after their volunteer hours at their organization’s exhibit.
- Organization literature or information about the exhibit: This can be displayed on the table adjacent to the exhibit location (if the group chooses to rent a table) or handed out by the group’s volunteers.
